PURPOSE

ISSUE:

Addressing how to respond when an academic program undergoes a modification (new program, change in curriculum, program being put into moratorium, etc). We created a cross-campus team for communication purposes that covers all bases needed and gets everyone the information needed.


GOALS / EXPECTATIONS:

Better communication internally & externally when an academic program undergoes a modification.


DESCRIPTION

SUMMARY:

Created a process to communicate information to campus community, external community, prospects, applicants, and enrolled students regarding new programs and program modifications.

MAJOR CHARACTERISTICS:

Core team members made up of: Director of Admissions, Registrar, Strategic Planning, Director of Advising, Director of Communications and Marketing, Chief Student Affairs Officer, and Chief Academic Officer. Division and Program Director are added based upon program being discussed. Other members of campus are included as needed.

PERFORMANCE MEASURES:
  • Tracking spreadsheet for tasks, who/what/when tasks completed
  • Track number of students/prospects contacted with updated information

ACHIEVED OUTCOMES:

Experienced an increase in communication throughout campus, with students, externally, and across academic areas regarding new programs and program modifications.


IMPACTS:

Increased communication between divisions/departments and proactive communication to internal & external stakeholders


RESOURCES AND LESSONS LEARNED

LESSONS LEARNED:
  • Silos can't exist for this team to work - there is better communication on other issues now too.
  • Tracking spreadsheet is critical to guarantee follow-through.
  • Having the "right" person as chair is important and the "right" people at the table.
  • Let each meeting decide if more are needed.

RESOURCES AND COSTS NEEDED:

Uses existing personnel from GFC MSU. May at times need potential funding for communcation needs - marketing, mailings.
