PURPOSE

ISSUE:

The college needed to develop a way to be able to provide a high level reporting system that would be HLC compliant. The high level reporting needed to include the Process taken to address the strategic challenge, the Results from the process, Improvements necessary or collected from the process, and the Next Steps that need to be taken for Continuous Quality Improvement.


GOALS / EXPECTATIONS:
  • Provide a means for individuals or groups to report involvement in the Strategic Plan in concise and compact manner.
  • Provide a usable tool to report results, progression and position of a project to leadership.
  • A quick, easy to fill-out and understand form that provides the user the ability to report involvement and progression on any project.

DESCRIPTION

SUMMARY:

The PRIN form was originally designed for the College to report progress to the HLC reviewers on six Strategic Challenges that were noted in the first review. To be able to provide a short one-page synopsis of the progress the college was making the form was divided into four parts. The first part provides the “Process,” or steps taken to address the Strategic Challenge. This includes dates corresponding to the process steps, resulting in a documented timeline. Following the “Process” with the “Results” provides a list of what was achieved through the noted process. The “Improvements” section provides a two-pronged approach that can be used to note improvements made from the process or improvements that need to be taken from the documented results. Finally, the “Next Steps” section give the user the ability to line out with date’s specific action items that were born of the results found from the process. This final portion provides the Continuous Quality Improvement documentation along with the ability to close the loop from the initial process while outlining the process for the next part of the challenge.

MAJOR CHARACTERISTICS:

Tool is a simple one-page form that contains direction and provide the user the ability to report progress of a project combined with closing the loop with the Next Steps.

PERFORMANCE MEASURES:
  • Use of the PRIN form to report Strategic Update progress.
  • Use of the PRIN in areas throughout the college to report project status.
  • Adoption of the College as a tool to be used for more than one use.

ACHIEVED OUTCOMES:

Use of the PRIN form to report Strategic Update progress was the second highest involvement rate at the college since the start of reporting Strategic Updates. Consensus of the leadership was the greater percentage of users were able to use the form and were not overwhelmed by it.


IMPACTS:

The PRIN form was well received and utilized by Leadership, Instructors, Faculty and Staff. Use has continued to grow with more areas using it to provide a high-level view of a project or process.

LESSONS LEARNED:

Be concise and use bullet-ed statements.

When rolling out the Form for use on Strategic Updates do small-targeted trainings with an example.

FUTURE PLANS:

Keep using the PRIN for Strategic Update reporting along with developing a hybridized version for use by the Academic Intelligence and Predictive Analytics Task Force to use to bring possible projects forward to leadership for consideration.
